Executive Assistant

Your role
As the Executive Assistant, you’ll play a key role in supporting our team by providing senior level administrative support to our Deputy Minister’s office. You will be a key point of contact responsible for ensuring the smooth operation of the Deputy Minister’s office, facilitating communication with the rest of the department, and helping to keep priorities aligned and on track.
We’re looking for a senior-level administrative professional with strong leadership qualities, who takes initiative and works collaboratively in a fast-paced environment. This role involves coordinating with administrative staff across branches, ensuring consistency and demonstrating adaptability, while upholding high standards. Strong judgment, problem-solving, organization, and collaboration are essential to success.

- Education in an office administration, business administration or related program from a recognized post-secondary or vocational institution.
- Significant experience providing executive level administrative support to senior managers, executives (e.g. Working across departmental lines and engaging with a range of internal and external contacts to arrange meetings and ensure alignment, etc.) preferably in a government environment.
- Experience tracking and managing information such as inquiries, documents, and information using electronic systems.
- Experience coordinating or preparing briefing materials and organizing senior-level meetings.
Candidates who have education, training, and/or experience equivalent to the essential qualifications listed above may be equally considered.
Desired Knowledge, Skills and Suitability
To support key objectives and strategic/operational needs of this position, candidates will be assessed on the following:
- Proficiency with Microsoft Office suite and ability to adapt to new technology quickly.
- Ability to manage a large workload with critical deadlines, with initiative to monitor and follow-up.
- Strong prioritization and time management skills to adapt quickly to ever-changing deadlines.
- Fosters a client-focused culture across the organization and encourages others to deliver exceptional service to internal and external clients.
